What this role is about:
We are looking for an Executive Assistant to join our team at Airbox; assigned to our CEO. You will work alongside a joint Personal Assistant and Head of Strategic Initiatives as part of the CEO Office. We're looking for an EA who can support with prioritisation and reducing noise, creating capacity in our CEO's day and ensuring his time is used effectively to drive the business forward. We're looking for trustworthy, organised individuals who are good with people and able to assess what truly needs their attention.
What you’ll do:
A confident communicator that can work at a fast pace; it will be critical for this role to be able to write, schedule appointments and ensure follow-ups are sent for meetings and calls.
Managing complex day-to-day calendar, organising business meetings, helping with personal tasks, managing email correspondence, and answering and directing incoming communication.
Developing and reviewing critical documents, preparing and proofing presentations and communications on behalf of the CEO.
Following up on internal and external actions and ensuring chasing stakeholders where necessary.
Assisting in the preparation for all internal and external company meetings, including creating meeting agendas, preparing board packs, taking meeting notes, following up with appropriate parties about action items, and keeping the team aligned and accountable.
Travel management, including logistics, itineraries, flights, trains, taxis etc. and preparation of related expense reports.
Promoting and exhibiting team spirit and company culture.
Supporting the Board and the Executive with Secretariat duties including preparation of agendas, tracking of actions and minuting meetings.
Covering Personal Assistant duties when cover is needed.
Ad hoc projects and project management as and when required.
What we’re looking for in our ideal candidate:
All of our colleagues have to pass an NPPV3 clearance; you can find out more about it here but a key feature is having the last 3 years living in the United Kingdom.
Be eligible for work in the UK; we are unable to offer sponsorship.
Previous experience as an EA at C-suite level.
Available to work across different time zones, APAC especially. Understanding the sensitivities around supporting an international colleague.
Quick learner – someone with a take the ball and run with it type of mentality.
Someone with a great memory who is used to dealing with lots of different people.
An agile multitasker who can manage conflicting agendas and constantly changing priorities.
Someone who is able to attend the office in Wantage, Oxford a minimum of once per month for Executive/Board meetings.
Someone with the ability to understand the nuanced leadership styles and ways of working of the CEO, and who is able to pre-empt and interpret his preferences and priorities.
It’s a bonus if:
You have experience in a Tech/start-up environment.
You’re available to support at events with the CEO.

Salary; £45,000 - £55,000 depending on experience.
